Coffee Traceability

Traceability is often discussed as though it were binary. It is not — it is a set of levels, each with a different cost and a different data requirement. This page sets out the levels that actually exist in East African coffee.

Quick answer

Traceability in coffee is a chain of records linking plot, washing station, dry mill, warehouse and container. Identity is preserved by keeping lots physically separate and documenting each transfer. The practical ceiling is set by where aggregation happens — usually at the washing station, which is why the station is the standard unit of East African traceability.

Each step down this table means smaller parcels and higher per-kilo handling cost. That, rather than the cup, is what drives much of the specialty differential.

Where identity is lost

Traceability breaks at aggregation points. Understanding where they are tells you what level is realistically achievable.

  1. 1Cherry reception. Cherry from many farms enters the same reception tank. Below this point, individual-farm identity survives only if deliveries are kept separate — which is what a day-lot or micro-lot programme does, at cost.
  2. 2Fermentation tank. A tank is a lot. Two tanks filled on the same day from the same deliveries can still be tracked separately if the station chooses to.
  3. 3Drying beds. Bed identity is maintained by physical labelling. Combining beds at the end of drying merges lots.
  4. 4Dry mill. Milling batches — outturns in Kenya — are the identified unit. Combining parchment from several stations for a milling run merges them permanently.
  5. 5Warehouse and container. Bag marking and stow records preserve what arrived; they cannot recover what was merged upstream.

Kenya is worth singling out: the combination of factory identity and outturn numbering gives unusually precise traceability as a by-product of how the system already works, rather than as something bolted on.

Frequently asked questions

What is the most detailed traceability available for East African coffee?
Washing station or factory level is the standard for specialty across these origins, with delivery-period and day-lot separations available on request in smaller volumes. Individual-producer traceability is realistic for estates and small dedicated programmes, not across a large smallholder base.
Why is Kenyan coffee traceable to outturn?
Because the system already works that way. Smallholders deliver cherry to a cooperative factory, and the dry mill processes each delivery as an identified outturn. Both identifiers follow the coffee to sale, so the granularity is a by-product rather than an added service.
Does traceability guarantee quality?
No. It tells you where the coffee came from, which is necessary for accountability and for due diligence data, and useful for repeating a purchase. Quality is established by cupping.
Can traceability be added after the coffee is milled?
No. Once lots are merged the identity is gone. Traceability has to be designed into the physical handling from cherry reception onwards, which is why it must be agreed before the harvest.
